This guide serves as a resource for our amazing event sponsors and vendors as they plan for, promote, and participate in the 2019 Trail Vision Awards hosted by Mountain Bikers of Santa Cruz and Bicycle Trip.

EVENT SCHEDULE:

4:00-10:00pm - Free bike valet for the event at Bicycle Trip courtyard
4:00-7:00pm - Pre-party at Bicycle Trip
6:00pm - Doors open, gallery open, drinks served
7:00pm - Show starts!
7:20pm - Photo show begins
7:35pm - Video show begins
8:35pm - Intermission (last chance to enter raffle!)
8:50pm - Awards and raffle drawing
9:00pm - Fin

PROMOTION!

The key to this event's success is leveraging all of our combined audiences to promote the event.

PLANNING!

We can't emphasize it enough -- planning is everything. There's nothing that makes an event more stressful than not being prepared.

Get access to imagery, the poster and sample Facebook posts. Please post away, every share helps. Our goal is to sellout the show! Click here for access.

Invite your friends to participate!
Let's face it, the success of this event relies on submissions from photographers and videographers, and we need your help recruiting participants.

Share far and wide.
Here are just a few ways we hope you will promote the event: Instagram and Facebook posts, newsletter entries, website posts, calendar events, and posters at your business.

Create your sponsor slide!
Or let us do the work 😉 We're going to show a slideshow at the beginning of the reel highlighting sponsors. You can use our specifications to make your own, or we'll make one for you! Slides due October 18.

Deliver In-Kind Product
Please deliver in-kind product by October 18. Our goal is to have the best raffle we've ever had, and you can feel good knowing all funds raised will go directly to the trails the event is celebrating! Win-win! Contact Emma to coordinate.

Plan your presence.
Will you have a table? Will you be walking around handing out stickers? Do you have banners or anything you'd like to put up at the event? Let us know if you need ideas, we're here to help.

Event Set-up! 4:00-6:00pm
Please arrive early to pull in front of side door at the Rio Theatre off of Seabright Avenue to unload your set-up and find parking. You will have 2 hours to set up your booth and get ready for the big night!

EVENT DAY!

Pre-party at Bicycle Trip! 4:00-7:00pm
There will be a pre-party at Bicycle Trip with food trucks, beer, and free bike valet available for the night from Bike Santa Cruz County. Folks will be able to park their bikes and walk a few blocks to the event. See on google maps here.

Show Starts! ~7:00pm
We'll start the screening roughly at 7pm. Everyone will file into the theatre. First we will show a slideshow of all sponsors, then photos, and finally video submissions. The raffle drawing will be held after the reel around 8:30pm.

DOORS OPEN! 6:00pm
The Rio Theatre will open it's doors at 6pm and folks will be able to view photo submissions in the lobby, buy beer, cocktails, and raffle tickets. Raffle items will be displayed on tables in front of the stage.

After-party! You're Invited 🙂 9:00pm
After the show, everyone is invited to cruise on over to the Crepe Place across the street for libations and cheers on a successful event! Feel good knowing $1 from all bar drinks go directly to MBOSC.

FREQUENTLY ASKED QUESTIONS

Do I get free tickets?
- No. This is a benefit for trails after all.

Where am I setting up my table? How much space will I have?
- You will be setting up your table in front of the stage, and space is limited. No 10x10's, please. You have space for one 6 foot table. With this arrangement folks will be able to see your table the entire show, an added bonus! This will also help hype the raffle, as they will see prizes during the reel.

How can I help?
- Please share the event as much as possible!
- If you have ANY raffle items or ideas for items, please let us know!
